Description


Administrative Tasks: 
  • Manages company calendar and directors company calendar, appointments and schedules as needed
  • Responsible for handling reception and basic administration duties, including greeting guests and answering telephone, taking messages and handling of company inquiries.
  • Collecting, sorting and distributing mail and any other applicable information received.
  • Maintains office supplies inventory by checking stock to determine inventory level, ordering and expediting needed supplies when necessary, and handling receiving.
  • Organize our messenger, scheduling pick-ups of raw materials and deliveries of products to customer.
  • Maintain all company records by making copies and filing documents.
  • Maintains proper record keeping of staff attendance and absenteeism.
  • Protects organization's value by keeping information confidential. 

Accounting Functions:  
  • Basic data entry into our accounting system
  • Update, verify and maintain accounting journals and ledgers and other financial records
  • Prepare and submit customer invoices for food service, call in’s, walk in’s, and web orders
  • Code, post and receipt payments
  • Sort, code and enter accounts payable data
  • Prepare and coordinate deposit activities
  • Perform all necessary account, bank and other reconciliations
  • Monitor customer accounts for non-payment and delayed payment 
  • Call on overseas customers for account collections and outstanding receivables
  • Call on local customers for account collections and outstanding receivables
  • Analyse discrepancies and unpaid invoices
  • Inform the sales manager in an organized fashion about payment collection 
  • Check, verify and process invoices
  • Prepare payments for signature
  • Maintain vendor files 

Payroll functions: 
  • Collect, confirm and process time sheets and overtime
  • Verify taxes and other deductions
  • Prepare and distribute payroll checks
  • Track employee vacation and sick time 

General support functions: 
 
  • Assist in month end reporting procedures
  • Track and audit petty cash
  • Assist with employee expense reports
  • Process shipping for all web orders
  • Maintains daily sales sheets 

Requirements: 
  • College or Associates Degree, required 
  • 5+ years' working experience, required 
  • Knowledge of generally accepted accounting and bookkeeping principles and procedures, familiarity with Quickbooks is a plus
  • Solid computer literacy use of Word, Microsoft, Excel and Powerpoint 
  • Good at Planning and organizing
  • Attention to detail and accuracy
  • Problem-solving
  • Teamwork
  • Positive Customer service orientation
  • Good Communication skills - verbal and written
