Job Description:

JOB TITLE– STORES CLERK
 
JOB SUMMARY 
To operate and carry out the daily functions of the Stores in an efficient and responsible manner, ensuring at all times that the Production and Maintenance operations of the Company are not disrupted due to unavailability of materials or spares.
 
DUTIES AND RESPONSIBILITIES
  1. Prepare Internal Requisitions for materials based on stock analysis and requirements, obtain approval and submit requisitions to the Purchasing Department in a prompt manner.
  2. Pursue and follow up on materials and spares ordered with the Purchasing Department and local suppliers.
  3. Receive, inspect and ensure proper handling and storage of all materials and spares ordered.
  4. Prepare Stores Receipt Notes for materials and spares received and verify items received against Purchase Requisitions/Orders.
  5. Forward all Receipt Notes and other relevant information relating to goods received to the Accounts and Purchasing Departments.
  6. Enter data relating to shipments or orders received and issued or material returns, in the AS400 or other computerised Accounting and Inventory systems, as may be required.
  7. Ensure prompt and efficient issuance of materials and spares to the Production and Maintenance Departments against authorised requisitions from the Departmental Heads or Supervisors.
  8. Ensure that the materials or spares issued to the Production or Maintenance Departments agree with the quantity and description state on Requisitions.
  9. Report to the Departmental Head and Security, any injury to persons or damages to equipment and property that may be caused by Lift/Grab truck operators assigned to the Stores and during the performance of their duties.
  10. Report to the Departmental Head and Purchasing Department, any damages to materials received and discrepancies in shipment.
  11. Report to the Departmental Head and Purchasing Department and advise the Purchasing/Maintenance Departments on any materials specification changes and receipt of substituted or new products for the Production operations.
  12. Ensure all Stores transactions are properly documented and documents are forwarded to the relevant Departments.
  13. Ensure good housekeeping in all areas where materials and spares are stored.
  14. Maintain good discipline and to cultivate good relationships amongst suppliers, Production / Maintenance Personnel and other employees.
  15. Perform physical stock take of finished goods on a monthly basis as per the Company’s accounting calendar or as may be otherwise necessary.
  16. Carry out any other related functions, which may be assigned, directed or instituted by the Management.
