ADULT LITERACY TUTORS ASSOCIATION: POSITION DESCRIPTION  COMMUNICATIONS OFFICER ALTA ONLINE

KEY DUTIES

MARKETING ALTA ONLINE
  • Product knowledge: Become familiar with the key features of ALTA Online.
  • Establish client profile: Identify and connect with prospective ALTA Online users/target groups in need of literacy enhancement.
  • Marketing Campaign: Manage and execute marketing strategy and campaign (Jan–Dec 2024) Intention of this campaign is to increase ALTA Online sales as well as the number of ALTA Online users including the untapped demographic of potential users across Trinidad and Tobago and the Caribbean.  Annual Marketing Plan: Nov/Dec each year develop marketing strategy and plan for the following year with timelines and delivery dates to attract interest and purchase of ALTA Online.  Marketing products: Develop creative concepts and produce artwork, audio and audiovisual productions for content marketing strategy/advertisements/signage for each marketing channel (digital and traditional) that aligns with the ALTA Online marketing strategy.
  • Social Media & website: Upgrade and maintain all content on ALTA Online.
  • Develop messaging /pitch for selected target groups highlighting AO benefits and how it will alleviate their problems and enhance their lives.
  • Make calls, visits and presentations (in-person or virtually) to potential sponsors, schools, workplaces or other stakeholders, locally and regionally.
  • Develop ways to highlight ALTA Online and our sponsored projects: media releases, infographics and videos, publications, etc.
  • Represent ALTA to promote and build awareness about ALTA Online in traditional media spaces (radio, television and print media).
  • Liaise with ALTA Online User Support to ensure that messaging is aligned with ALTA Online capabilities and features.

MANAGE SPONSORSHIP
  • Identify potential sponsors - local, regional and international.
  • Prepare, submit and follow up on proposals to potential sponsors.
  • Report to sponsors working with accounts and Project Manager.
  • Send application form to schools and other groups requesting sponsored ALTA Online books, screen applications, make recommendations on whether criteria is met and follow up on any delivery of books and programme implementation. 

SUPPORT & EXPAND VENUE PARTNERS 
  • Support existing locations/agencies offering onsite access to and mentoring of ALTA Online.
  • Expand the locations where the public can access AO with guidance from AO mentors, e.g. panyards, NALIS, community centres, NGOs.
  • Develop messaging specifically to attract and retain venue partners. 

SUPPORT ALTA ONLINE PROJECTS 
  • Create ALTA Online messaging customized to specific groups for funded projects, e.g. CEPEP and URP workers, YDACs, schools.
  • Source persons within the ALTA Online project target group to contact and attract to ALTA Online or work with the agency to do this.
  • Provide feedback to Project Manager and User Support team to reduce student drop out / increase user retention and completion rate.

SALES ADMIN
  • Process orders for ALTA Online and ensure timely delivery of e-books.

MONITOR & DOCUMENT
  • Monitor the effectiveness of marketing and communications providing regular reports to the CEO and ALTA board and recommending changes in strategy as necessary to achieve objectives.
  • Track outcomes, establishing channels and systems for getting regular feedback from users, mentors, agencies and sponsors.
  • Conduct entry & exit surveys on users.
  • Monitor and find ways to address student dropout/burnout due to the length of the learning journey.Develop an effective file management system for all ALTA Online communications materials

NETWORKING Internal & external
  • Liaise with ALTA offices and Regional Coordinators for outreach events to produce and provide the ALTA Online component of the ‘travelling exhibition’ outreach package for display at outreach events.
  • Schedule and conduct continuing follow ups with users (individuals or sponsors) to ensure satisfaction and build a bank of testimonials, photos and videos to feed social media, add to proposals and reports for ALTA Online sponsors/donors.
  • Encourage and organise ALTA Online students to read their writing at Readings Under the Trees
  • With ALTA Communications Officer, build and maintain a network of partners, e.g. Rotary Clubs, PTAs and NGOs, and foster links with communities, corporate and government bodies.
  • Create opportunities for strategic networking and represent ALTA at events (NGO workshops, conferences, CSR functions)  
  • Maintain contact databases on ALTA Online current and potential users and sponsors, projects, ALTA Online regional representatives, associated educational institutions, NGOs and government agencies. 

MENTOR RECRUITMENT, TRAINING & SUPPORT
  • Recruit and train a cadre of mentors both for specific projects and for individual users.
  • Check-in with mentors to determine pain points and how to overcome these.
  • Enhance partner participation at ALTA Online venues so mentors/staff embrace ALTA Online and are motivated to create a more supported and collaborative learning environment for users.
  • Foster a community for mentors to share experiences and enhance their performance through collaboration (WhatsApp groups, meetings) 

REPORTS & BUDGETS
  • Fulfill reporting requirements as outlined in the marketing strategy’s Monitoring and Evaluation plan.
  • Prepare reports on communications elements of ALTA Online projects, monthly CEO report to board and contribution to Chairman’s Report for AGM.
Work with ALTA accountant to prepare the annual ALTA Online communications budget, making recommendations four months prior to end of fiscal year in April.
 
  • Manage, monitor and effectively allocate funds for communications to create and sustain maximum brand awareness and visibility within stipulated budgets.

NEWSLETTER
  • Collect and compile relevant data and articles for the ALTA Newsletter liaising with ALTA Online team and Communications Officer. 

OTHER
  • Assist with projects.
  • Exigencies of the organisation and any other duties as assigned by Management

KEY COMPETENCIES
