Job Purpose
The Export Sales Coordinator is responsible for coordinating the end-to-end execution of export orders, ensuring alignment between internal departments, logistics partners, and customers. The role focuses on shipment readiness, execution follow-up, customer communication, and risk identification to ensure export orders are delivered accurately, compliantly, and on time. The position plays a central role in maintaining service standards across export markets by actively coordinating people, timelines, and information across the export value chain.
Key Duties & Responsibilities
Order Coordination & Production Oversight
• Coordinate export orders from confirmation through shipment readiness, ensuring alignment with customer requirements and Company standards.
• Liaise with internal teams to confirm product availability, packaging readiness, and dispatch timelines.
• Monitor order progress, validating accuracy and escalating risks or delays as required.
Export Documentation Readiness & Shipment Coordination
• Coordinate documentation and shipment timelines to ensure export readiness ahead of cut-off dates.
• Verify the accuracy and completeness of export documentation in line with shipping and regulatory requirements.
• Liaise with freight forwarders, customs brokers, and shipping partners to confirm bookings, schedules, and documentation deadlines.
• Track shipment schedules and proactively flag delays, changes, or risks impacting delivery commitments.
Customer & Distributor Communication
• Act as the primary operational point of contact for export customers and distributors.
• Provide timely and accurate updates on order status, shipment schedules, and delivery timelines.
• Proactively communicate delays, changes, or risks and coordinate issue resolution with internal teams and external partners.
Compliance & Quality Coordination
• Coordinate with Quality Assurance and Regulatory teams to ensure export orders comply with food safety, labelling, shelf-life, and destination-market requirements.
• Verify alignment of export packaging, labelling, and documentation with approved standards and customer specifications.
• Ensure documentation and traceability readiness to support audits, inspections, and customer reviews.
Container Loading & Shipment Verification
• Coordinate and verify container loading to ensure accuracy, compliance with documentation, and product integrity.
• Confirm quantities, labelling, and condition prior to shipment, escalating discrepancies or damages as required.
Reporting & Execution Monitoring
• Prepare routine execution-focused export updates and trackers to provide visibility on shipments, risks, and coordination status.
• Monitor key execution indicators (e.g. shipment readiness, documentation timeliness) and flag trends or issues for review.
• Provide structured operational feedback to support continuous improvement initiatives.
Physical Demands
The role is primarily office-based. It requires prolonged periods of sitting and extensive use of a computer. There may be occasional light lifting of files or office supplies, no more than 30 to 50 pounds.
Qualifications & Experience required
• Degree in Business Administration, Supply Chain, or Logistics Management Required.
• Minimum of three (3) years’ experience in export, logistics, or shipping within a food manufacturing or distribution environment.
• Working knowledge of export documentation, customs procedures, and Incoterms.
• Proficiency in Microsoft Excel, Word, and email communication; experience with ERP systems will be an asset.
