Pollonais, Blanc, de la Bastide & Jacelon is seeking an experienced Legal Secretary to provide dedicated secretarial and litigation support to Attorneys within our Dispute Resolution Department. The successful candidate will play an integral role in the day-to-day management and progression of litigation matters, client communication and general matter administration.

Key Responsibilities

• Provide comprehensive support to Attorneys in the management of dispute resolution matters.

• Open, maintain and update physical and electronic files and ensure that matter information is accurately recorded.

• Prepare, type, format and proofread pleadings, affidavits, notices, applications, submissions, correspondence, statements and other legal documents.

• Maintain diaries and closely monitor Court dates, filing deadlines and other critical matter deadlines.

• Assist Attorneys with the preparation of matters for hearings, case management conferences, trials, mediations and other proceedings.

• Compile and organise Court bundles, correspondence and other documents as required. 

• Liaise with Court registries and other relevant parties.

• Liaise with clients regarding documentation, appointments, procedural matters and other administrative requirements, referring substantive legal queries to the Attorney.

• Prepare routine correspondence, emails, fee estimates, invoices and other administrative documentation as required.

• Maintain accurate physical and electronic filing systems and assist with the closing of completed matters.

• Handle confidential and sensitive client and legal information with a high degree of discretion.

• Provide general administrative support to the Dispute Resolution Department and perform other related duties as assigned.

Minimum Requirements

• Minimum five (5) CXC General passes, including English Language, or equivalent.

• Five (5) to seven (7) years' experience in a legal secretarial position, preferably supporting a litigation or dispute resolution practice.

• Excellent written and oral communication skills.

• Strong organisational and time-management skills.

• Excellent attention to detail and accuracy.

• Ability to manage multiple files, deadlines and competing priorities in a fast-paced legal environment.

• High level of professionalism, confidentiality and discretion.

 

Knowledge, Skills & Experience

• Practical knowledge of civil litigation and Court processes.

• Familiarity with pleadings, affidavits, Court applications and other litigation documents.

• Understanding of filing, service and Court-related procedures.

• Strong legal document preparation, formatting and proofreading skills.

• Proficiency in Microsoft Word and Microsoft Office applications.

• Excellent typing and document-management skills.

• Ability to work independently while functioning effectively as part of a professional legal team.
