Key Duties & Responsibilities

1. Shipment & Operations Management

• Oversee all import, export, from booking to delivery

• Ensure every shipment is properly documented and compliant

• Monitor vessel schedules, ETAs, and cargo availability

• Track container movements and empty returns

• Ensure timely customs clearance and delivery

• Maintain up-to-date shipment status at all times

2. Documentation & Compliance

• Review Bills of Lading, invoices, packing lists, 

• Ensure accuracy of all customs and shipping documents

• Verify completeness before submission

• Prevent penalties due to documentation errors

• Maintain organized physical and digital files

3. Deadline & Risk Control

• Monitor free time, demurrage, detention, 

• Identify shipments at risk of delay 

• Take corrective action before deadlines expire

• Flag customs holds and compliance risks

• Anticipate operational problems early

• Escalate major risks promptly

4. Financial & Cost Management

• Monitor operational costs per shipment

• Prevent unnecessary demurrage and storage charges

• Ensure billing approvals before cargo release

• Monitor client credit status and outstanding balances

• Coordinate with accounts on invoicing and collections

• Protect company profitability through cost control

5. Team Supervision & Leadership

• Assign daily tasks to operations staff

• Monitor staff performance and productivity

• Ensure deadlines are met

• Provide guidance and coaching

• Correct errors and poor practices

• Maintain discipline and professional standards

• Build a reliable, accountable team

6. Client Management

• Act as main point of contact for key clients

• Provide proactive shipment updates

• Manage client expectations on timelines

• Handle complaints and service issues professionally

7. Reporting & Communication

• Prepare monthly operational reports – gap 

• Provide management updates on risks and delays – sales manager so he can also advise clients

• Document incidents and corrective actions

• Maintain clear internal communication

• Keep management informed of major issues

Qualifications

Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field

Minimum of 5+ years’ experience in shipping, freight forwarding, or logistics operations

Proven experience managing import/export shipments from booking to delivery

Strong knowledge of shipping documentation (Bills of Lading, invoices, packing lists, customs documents)

Working knowledge of customs procedures and regulatory compliance
