JOB PURPOSE:

1. Responsible for developing and updating project schedules to be agreed with the respective project coordinator/manager that incorporates the initial CPM schedule and if necessary, the third-party supplier/vendor/contractor’s schedule. To refine defined holistic schedule into work packages and job tasks to be executed. 

2. Responsible to ensure efficient scheduling of all tasks between the Sales and Projectsand Service Departments for all shared resources such as manpower, plant and equipment, tools and consumables. Assist project coordinators/managers with the scheduling of each job with specific importance on time, cost and quality objectives to ensure that all tasks are completed to the project’s objectives. 

3. Responsible for tracking and reporting on progress, identification of potential resource loading issues and communicating with all stakeholders to ensure a timely and effective project delivery. To create timelines from start to finish for all projects to determine the resource loading required to accomplish the project effectively.

RESPONSIBILITIES AND ACCOUNTABILITIES

Customer Support Services (CSS) Department:

• To create a master schedule that can be used for detailed material procurement capacity, manpower resource loading, forward planning look-ahead and financial planning for service-related tasks. 

• To act as the primary liaison with regards to all internal and external information requests for the Customer Support Service (CSS) Department.

• To liaise with Technicians continuously to maintain and update their assigned service tasks are completed within the agreed and assigned duration as per the job order. To highlight any delays and change of scope to the Service Coordinator for potential variations or delays. 

• To develop and manage workflow scheduling for multiple simultaneous service jobs while collaborating closely with the Service Coordinator/Sales Representative utilizing Oracle NetSuite software for scheduling of all tasks. 

• To track all service tasks and schedule accordingly for identification of all potential delays in the project WBS and Gantt chart. 

• To integrate the weekly forecast from the Sales Team to aid in the development and forecasting of the service request pipeline and plan for the expected resource loading for execution by the Customer Support Service (CSS) Department.

• To liaise with the Service Coordinator and Sales Representatives daily to document and update the sales/service pipeline prior to publishing a master schedule on a weekly basis. 

• To continually propose new operational procedures within the processes through gap analysis, training and development, forward planning and document management systems improvement through continuous improvement. 

• To generate service-related quotations with the consultation of the Service Coordinator/Technician in terms of labor, parts and consumables build up as necessary. To close the service job by generating the required invoice to the client account. 

• To track each Service Technician’s progress in relation to the schedule timelines, identification of all potential risks in collaboration with the Service Coordinator to ensure that the required adjustments are implemented to sustain the service timelines and deliverables. 

• To generate the weekly and forward planning look-ahead schedules – 1Q & 6Q in conjunction with the Service Coordinator. To continuously monitor and appraise the service team which would enable prompt responses for any disruptions within the service schedule board. 

Project Department:

• Design and Manufacturing Engineering – CAM/CAD Business Unit 

• EPC/EPCM/EPCI - Project Business Unit

• To develop a level schedule from initial inputs within the WBS assigning cost, resources, and time provided by the project team incorporating and integrating the client supplied schedule. To utilize all inputs to provide a monthly management report, tender document, schedule program for sub-contractors, establishing the critical path with the ultimate objective of consolidating a level schedule for project control.

• To track all project related critical activities and changes to the critical path which canimpact the project schedule and identify these areas of concern to the project coordinator/manager in a timely duration. 

• To monitor the project program milestones and interdependencies throughout the project life cycle to ensure compliance with the project delivery objectives and project scope of works. 

• To utilize all respective industry accepted codes, best practice and methodologies to develop the basis for the project schedule in mind. 

• To support the Project Coordinator/Manager with document management for information such as project status updates, management of change request, IFC drawings, etc. 

• To assist the Project Coordinator/Manager with tracking the actual verse budget in terms of manhours utilized, cost expenditure, duration of activities completed. 

 

EDUCATION & EXPERIENCE REQUIREMENT:

• Technician Diploma in MET/EEET 

• Certification in Project Management (PMP, AGILE) or Scheduling (PMI-SP) is a plus.

• Minimum (3) years experience in a supply chain environment encompassing - Service and Maintenance Coordination, Planning and Scheduling within the portfolio of a senior planner/scheduler. 

• Experience using Planning, Scheduling, and Inventory Management software such as ORACLE NetSuite, Microsoft Projects, Microsoft Dynamics 365 Field Service or equivalent software

• Expert proficiency with spreadsheet and word processing programs.

• Knowledge of STOW and ISO 9001 Standards and implementation of a management system to achieve operational controls.

 

COMPETENCIES:

• Excellent verbal and written communication abilities.

• Excellent technical thinking and data analytical abilities with the ability to analyze complex schedule data and identify trends.

• Strong technical competencies related to installation, commissioning and maintenance of mechanical and electrical systems. Such as pumps, motors, generators, wastewater treatment plants, E&I controls/panels.

• Excellent multi-tasking abilities within a fast-paced service and project related environment with a keen focus on technical details.

• Must thoroughly be aware of the various phases of projects that exist in the MEP sector– turnkey, design and build, EPC, EPCI, etc. 

• Proven track record in planning and organizing.

• Ability to work on multiple tight deadline service and projects jobs in SIMOS. 

• Expert knowledge of project management principles, methodologies (PMBOK, Agile), and scheduling techniques.
