The Operations Assistant is responsible for supporting inventory control and administration across the retail stores. The role ensures accurate inventory records, processes customer orders and payments, reconciles stock discrepancies, prepares sales and inventory reports, and works closely with stores and internal departments to maintain efficient retail operations.

  • Ensure all store orders are submitted to the Sales/ Inventory Departments within established timelines.
  • Verify the availability of stock for all store customer orders and advise stores to prepare customer invoices.
  • Collate, organize, and maintain daily filing of all store customer invoices.
  • Review and identify invoice discrepancies and communicate any required corrections to the respective stores for prompt resolution.
  • Daily receipt of all store customer payments and prepare customer account statements for store customers.
  • Monitor and follow up on the timely closure of all Transfer Orders (TOs), including inter-store transfers.
  • Liaise with stores to create/amend Transfer Orders to reflect any discrepancies for physical goods received.
  • Conduct weekly checks of all negative inventory figures within Retail Edge for retail stores (every Tuesday).
  • Perform weekly stock checks on the top 25 best-selling items, along with an additional 25 rotating inventory items, to verify stock accuracy (every Thursday).
  • Maintain and update the inventory reconciliation tracking spreadsheet, investigating discrepancies between physical stock counts and Retail Edge records.
  • Update inventory records in Retail Edge with approved physical stock count adjustments.
  • Prepare and submit inventory costing adjustments to the Finance Department as required.
  • Compile and prepare all charts, graphs, and supporting data for the biweekly sales performance report submitted to the Board of Directors.
  • Provide inventory and sales-related analysis to support operational decision-making and reporting requirements.
  • Assist with physical stock checks in all retail locations.
  • Organize annual scale verification with TTBS at retail stores.
