Position Overview

 

We are seeking a Project HR & Administrative Specialist to provide effective human resources and administrative support for project operations. The successful candidate will be responsible for maintaining accurate employee records, supporting recruitment and onboarding activities, coordinating employee-related matters, assisting with payroll and timekeeping, and ensuring that HR and administrative procedures are followed.

The ideal candidate will be highly organized, detail-oriented, confidential, and able to effectively manage multiple tasks in a fast-paced project environment.

Key Responsibilities

  • Maintain accurate and up-to-date employee files, records, and HR documentation.
  • Assist with recruitment, employee onboarding, registration, and mobilization processes.
  • Support the preparation of HR reports, attendance records, manpower reports, and other personnel-related documentation.
  • Assist with payroll processing and timekeeping activities, ensuring information is accurate and submitted on time.
  • Coordinate employee arrivals, leave requests, training, and other HR-related requirements.
  • Respond to employee HR and administrative queries and provide appropriate assistance.
  • Prepare letters, reports, correspondence, forms, and other administrative documents.
  • Maintain office supplies and monitor stock levels to ensure adequate availability.
  • Assist with the implementation and communication of company policies, procedures, and HR requirements.
  • Maintain strict confidentiality of employee and company information.
  • Ensure HR and administrative activities are conducted in accordance with company procedures and applicable compliance requirements.
  • Maintain organized and accurate physical and electronic records.
  • Provide general administrative support to the project and HR team as required.
  • Perform other duties and responsibilities related to the position as assigned.

Qualifications & Skills

  • Previous experience in Human Resources, Administration, or a related field.
  • Good working knowledge of Microsoft Office, particularly Word, Excel, and Outlook.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to maintain confidential information and exercise discretion.
  • Ability to prioritize tasks and work effectively under pressure.
  • Ability to maintain accurate records and documentation.
  • Good interpersonal skills and the ability to work effectively with employees, supervisors, and management.
  • Knowledge of HR and administrative procedures and requirements.
  • Ability to work independently while also functioning effectively as part of a team.
