The Purchasing Assistant will support the purchasing and inventory functions by coordinating with suppliers, processing purchase orders, maintaining accurate product pricing and inventory records, and assisting with promotions and marketing activities. The role also ensures the timely procurement of operational supplies while contributing to efficient inventory management and smooth day-to-day operations.

The Job Duties are as follows:

·       Input all product costs and selling prices within Retail Edge for both local and international suppliers.

·       Conduct daily reviews of vendor product inventory levels across retail locations to ensure adequate stock availability and recommend replenishment orders as required.

·       Prepare biweekly vendor sales reports to support inventory analysis and reporting for submission to the Board of Directors (BOD).

·       Process and submit purchase orders to local suppliers (Novo Farms, Royal Bengal, Caribbean Spring, Better Belly Buss, Arctic Krunch, Sungrown, Coconut Island, Cocoa Yard).

·       Liaise with foreign suppliers to ensure all shipping and regulatory documentation (invoices, Certificates of Free Sale, dairy certificates), are received prior to shipment departure.

·       Coordinate with the Inventory Team to facilitate the timely distribution of close-to-expiry products to retail stores.

·       Recommend and communicate the weekly rotational inventory items to be included in stock verification exercises.

·       Monitor supplier accounts and follow up on outstanding credits, consignment transactions, and account statements as required.

·       Prepare and coordinate monthly "Sensational Savings" promotions, including the identification of slow-moving and close-to-expiry products, analysis of costs and current selling prices, and recommendations for promotional pricing.

·       Input and maintain all promotional pricing, discounts, and approved price changes within Retail Edge.

·       Develop and update product brochures and promotional materials for dry goods and dessert product categories.

·       Design and create digital marketing content using Canva, including promotional campaigns, flash sales, recruitment advertisements, calendars, diaries, and other branded materials.

·       Monitor social media platforms and respond promptly and professionally to customer inquiries, feedback, and complaints.

·       Procure office supplies and stationery, including letterheads, envelopes, toner cartridges, and related operational supplies.

·       Manage the sourcing and procurement of staff uniforms, including t-shirts, jeans, vests, suits, and other approved apparel.

·       Coordinate the purchase of corporate gifts, employee recognition items, promotional merchandise, and company tokens as required.
