Position Summary 
The Executive Personal Assistant provides high-level administrative, executive, and personal support to the Director. This role requires exceptional organizational skills, discretion, initiative, and the ability to anticipate and manage multiple priorities across both professional and personal functions. The incumbent serves as a direct extension of the Director’s office, ensuring seamless coordination between medical, administrative, and operational responsibilities. 

Key Responsibilities 

1. Executive Support 

2. Manage and prioritize the Director’s daily schedule, appointments, meetings, and travel arrangements. 

3. Prepare, proofread, and edit correspondence, reports, and presentations on behalf of the Director. 

4. Coordinate and attend meetings as required; record, summarize, and follow up on action items. 

5. Handle confidential and sensitive information with discretion and professionalism. 

6. Liaise with internal departments and external stakeholders, ensuring timely communication and follow-through on directives. 

7. Represent the Director’s office in meetings where required, ensuring accurate and professional representation.

 

Administrative & Operational Coordination 

1. Oversee documentation, record keeping, and communication related to both medical and 

administrative operations. 

2. Support planning and execution of executive projects, meetings, and strategic initiatives. 

3. Maintain a system for task tracking, prioritization, and reporting to support the Director’s 

oversight functions. 

4. Draft, review, and distribute internal communications as directed. 

 

Personal & Logistical Support 

1. Manage personal appointments, errands, and engagements on behalf of the Director where necessary. 

2. Coordinate travel, events, and logistics for both personal and professional activities. 

3. Provide organizational support in balancing professional and personal responsibilities efficiently and discreetly. 

 

Leadership & Representation 

1. Exercise sound judgment and authority in managing correspondence and decision-making on behalf of the Director when delegated. 

2. Maintain neutrality and professionalism in all interactions; must not integrate into staff social groups or office circles. 

3. Represent the Director’s office with integrity, confidence, and a firm yet respectful approach in dealing with staff and external contacts. 

 

Required Qualifications & Experience 

1. Bachelor’s Degree in Business Administration, Management, or a related field (required). 

2. Minimum 5 years’ experience in an executive or personal assistant role supporting senior leadership. 

3. Experience in healthcare administration or an executive office environment would be an asset. 

4. Strong written and verbal communication skills with excellent command of English. 

5. High level of proficiency in Microsoft Office Suite and other productivity tools. 

6. Proven ability to handle multiple priorities and confidential information effectively.
